Is the AI accurate? What if it gets something wrong?
HOAHelper only answers from the documents you upload — it doesn't make things up or pull from generic HOA knowledge. Every answer cites the exact section. For questions outside your uploaded documents, it says so and recommends contacting the board. Complex or legally sensitive questions are automatically flagged for human review rather than answered automatically.
What document formats does HOAHelper accept?
PDF, TXT, and Markdown files up to 10MB. Real PDFs (with selectable text) are processed instantly. Scanned PDFs (image-only) use automatic OCR and take a few minutes. You can also paste text directly. Most communities are fully loaded in under 10 minutes.
Does HOAHelper replace our property management software?
No — and it's not trying to. HOAHelper is purpose-built for two things: answering resident questions and guiding gate security decisions. It works alongside whatever you use for accounting, maintenance requests, or communications. There's nothing to replace or migrate.
How does the guard portal work without special hardware?
Guards use any smartphone or tablet with a camera. The DL barcode scanner (PDF417 format) works best on a phone — it uses the rear camera and takes 2–3 seconds per scan on iOS or Android. No dedicated hardware, no installation required.
Who can see resident conversations?
Chat history is private per user — residents only see their own conversations. Admins can see conversations that have been flagged for review. No conversation data is shared with other communities or used to train AI models outside your community's context.
Can we customize it for our community's name and rules?
Yes. During setup you name your community and configure entry rules for the guard portal. The bylaw AI automatically uses only your uploaded documents. The resident chat interface shows your community's name. White-label and full branding customization is available on the Property Manager plan.
